PROJECT SCHEDULING PROCESS

Our annual schedule is developed by the Projects Committee, which usually meets in October and December. The first meeting kicks off our project selection and scheduling efforts, with discussions of our goals, objectives, processes, and suggestions for improvement. The expected outcomes are for all Committee members to understand our project selection/scheduling process, and for prospective project leaders to contact agencies asking them to prepare and submit proposals. At the second meeting, each submitted proposal is discussed and scheduled in our project calendar, with project leader, project cook, and agency representative identified. Over the next several weeks, the schedule is fine-tuned, with late proposal submittals considered, conflicts resolved, leader and cook positions confirmed, and dates finalized. The resultant schedule is presented for review and approval by the Board of Directors, and is usually published in late February.

The following are points to note in this process:

  • Every NMVFO member is invited to participate in the Projects Committee

  • Notice of meeting dates, times, and locations will be made through our email list, since no newsletter is published at this time of the year

  • The heart of this process is for individual volunteers to take the initiative, contact agency representatives, and solicit project proposals

  • The single most important criterion in accepting and scheduling a proposed project is that a member volunteers to lead it

  • The Committee will provide assistance, when desired, in identifying agency contacts and cooks

  • Have the agency representative fill in and submit the Project Proposal Form to describe and request that we include their proposal in our schedule.
